Executive Assistant – Growing Private Investment Firm

$135,000 – $155,000 base DOE + Discretionary Bonus + Top-Tier Benefits

A high-performing private investment firm is seeking a proactive, detail-oriented Executive Assistant to support a Managing Director and 2 Vice Presidents. This is a true partner role within a fast-paced office that prides itself on a collaborative, close-knit, and collegial culture. You will join a top-tier administrative team to manage events, conferences, and office logistics. The ideal candidate has a forward-thinking mindset—someone who can stay three steps ahead of a busy executive and execute with precision in a fast-paced environment.

Location: Midtown West, New York — Onsite (5 days/week) Hours: 8:30 AM – 6:00

Key Responsibilities

• Executive Support: Provide high-level support to the MD and VPs, acting as a gatekeeper and primary liaison for internal and external stakeholders.
• Complex Coordination: Manage ever-changing calendars and coordinate extensive domestic and international travel across multiple time zones.
• Meeting Logistics: Prepare materials, coordinate agendas, and ensure the MD is fully briefed and prepared for all high-stakes meetings.
• Team Collaboration: Partner with the existing EA team to manage office operations, plan team events/offsites, and maintain a professional office environment.
• Financial Admin: Prepare and process detailed expense reports with accuracy and urgency.

The Ideal Candidate

• Experience: 5+ years of EA experience, specifically within financial services (Private Equity, IB, VC) or a similarly demanding professional services environment.
• Communication Style: Direct, professional, and poised. You should be comfortable screening calls and representing senior leadership.
• Proactive Mindset: A natural problem-solver who operates with a high sense of urgency and precision without needing constant direction.
• Team Player: Someone who thrives in a close-knit group and is happy to "roll up their sleeves" to help the broader team and office.
